Event Participation

Santa Speedo Run is a community fundraising event produced by the ICG Foundation, Inc. Participation is voluntary, and all participants are expected to act responsibly, respectfully, and in accordance with event rules and applicable laws.

Registration

Registration is required to participate in Santa Speedo Run. Participants are responsible for providing accurate and complete information during registration and for keeping their contact information up to date.

Event Changes

Santa Speedo Run reserves the right to modify the event schedule, route, venue, programming, or other event details if necessary due to weather, public safety concerns, governmental requirements, or other circumstances beyond our control.

Participant Conduct

We are committed to creating a welcoming, inclusive, and respectful environment for everyone. Participants, volunteers, sponsors, vendors, and spectators are expected to treat others with kindness and respect.

Santa Speedo Run reserves the right to remove or refuse participation to anyone whose behavior is disruptive, unsafe, discriminatory, harassing, intoxicated to the point of creating a safety concern, or otherwise inconsistent with the spirit of the event.

Costumes

Creative and festive attire is encouraged. Because Santa Speedo Run takes place in a public setting, all costumes must remain appropriate for a community event. Nudity, sexually explicit attire, offensive messaging, or costumes that create an unsafe environment are not permitted.

Intellectual Property

All Santa Speedo Run names, logos, graphics, artwork, illustrations, photographs, videos, and website content are the property of the ICG Foundation, Inc. and may not be copied, reproduced, or used without prior written permission.

Website Use

You agree to use this website only for lawful purposes. You may not attempt to interfere with the operation or security of the website or misuse any content or services provided through it.

Third-Party Services

Certain registrations, donations, fundraising pages, and communications are provided through trusted third-party platforms including Zeffy, Stripe, and Mailchimp. Your use of those services may also be subject to their individual terms and privacy policies.

Limitation of Liability

While we work hard to provide a safe and enjoyable event and website experience, participation is voluntary and at your own risk. To the fullest extent permitted by law, Santa Speedo Run and the ICG Foundation, Inc. are not responsible for indirect, incidental, or consequential damages arising from the use of this website or participation in the event.

Governing Law

These Terms & Conditions shall be governed by the laws of the State of Florida. Any legal matters arising from these Terms shall be resolved in the appropriate courts located within the State of Florida.

These Terms & Conditions may be updated periodically to reflect operational, legal, or organizational changes. The most current version will always be available on this page.

We’re excited to have you join Santa Speedo Run! The following policies help ensure a smooth experience for all participants while supporting the mission of the ICG Foundation.

Registration

All participants must complete the official registration process before participating in Santa Speedo Run. Registration is considered complete once payment has been received and your registration has been confirmed.

Registration Fees

Registration fees help support the production of Santa Speedo Run and the charitable mission of the ICG Foundation, Inc. Fees may increase as the event date approaches, so we encourage participants to register early.

Refund Policy

Because Santa Speedo Run is a fundraising event benefiting the ICG Foundation, all registration fees are non-refundable. Your registration directly supports our mission to expand access to HIV prevention, testing, education, and affirming healthcare throughout our community.

Transfer Policy

If you’re unable to participate, you may transfer your registration to another individual up to 7 days before the event, subject to any applicable registration platform deadlines and procedures.

After the transfer deadline, registrations become final and can no longer be transferred.

Event Cancellation or Changes

Santa Speedo Run reserves the right to modify the event date, route, venue, schedule, or activities if necessary due to weather, public safety concerns, governmental requirements, or circumstances beyond our control.

If the event must be postponed or rescheduled, registrations will automatically transfer to the new event date whenever possible.

Deferrals

Registrations may not be deferred to a future Santa Speedo Run unless specifically authorized by the event organizers.

Registration Accuracy

Participants are responsible for ensuring that all registration information provided is accurate and current. This includes emergency contact information and any required participant details.

Every dollar raised through Santa Speedo Run helps support the mission of the ICG Foundation, Inc., expanding access to HIV prevention, testing, education, and affirming healthcare throughout our community. Thank you for making every mile matter.

Fundraising

Participants are welcome, but not required, to create individual or team fundraising pages. Fundraising is a meaningful way to increase your impact while helping us reach more people through the programs and services supported by the ICG Foundation.

Donations

All donations made through Santa Speedo Run are processed securely through Zeffy and directly benefit the ICG Foundation, Inc., a registered 501(c)(3) nonprofit organization.

Eligible donors will receive a donation receipt for tax purposes. Please consult your tax advisor regarding the deductibility of charitable contributions.

Use of Funds

Funds raised through Santa Speedo Run support the charitable mission of the ICG Foundation, including programs that expand access to HIV prevention, testing, education, healthcare navigation, and other community initiatives. Donations are used where they are needed most to further our mission and maximize community impact.

Fundraising Rewards

Participants and teams may be eligible for fundraising incentives, recognition, or prizes based on the fundraising levels published by Santa Speedo Run. Incentives have no cash value, are non-transferable, and may be substituted with items of equal or greater value if necessary.

Donation Refunds

Charitable donations are generally considered final and are non-refundable, except in cases of duplicate transactions, processing errors, or as otherwise required by law.

Fundraising Conduct

Participants are expected to represent Santa Speedo Run and the ICG Foundation honestly and respectfully while fundraising. Fundraising activities must comply with all applicable laws and may not include misleading claims, unauthorized use of the Santa Speedo Run or ICG Foundation brands, or activities that could damage the reputation of the event or organization.

Santa Speedo Run is all about creating unforgettable memories, and we’ll have photographers and videographers throughout the event capturing the fun, excitement, and community spirit.

Event Photography

By attending or participating in Santa Speedo Run, you acknowledge that photographs, video, and other recordings may be taken during the event.

These images may be used by Santa Speedo Run and the ICG Foundation, Inc. for promotional, educational, fundraising, editorial, and marketing purposes across print, digital, social media, email, websites, and other communications.

Public Event

Santa Speedo Run takes place in a public setting. While we make every effort to be respectful of all participants, we cannot guarantee that attendees will not appear in photographs or video captured by the event, members of the media, sponsors, or other attendees.

Media & Promotional Use

By participating in Santa Speedo Run, you grant the ICG Foundation, Inc. the right to use your image, likeness, voice, and appearance, without compensation, for lawful promotional and educational purposes related to Santa Speedo Run and the Foundation’s mission.

Personal Photography

Participants and spectators are welcome to take personal photos and videos throughout the event. We encourage everyone to be respectful of others and avoid interfering with participants, volunteers, staff, or event operations while capturing content.

Sponsorship Confirmation

Sponsorship opportunities are confirmed once a signed agreement (if applicable) and payment have been received by the ICG Foundation, Inc. Certain sponsorship levels may have limited availability and are reserved on a first-come, first-served basis.

Sponsor Benefits

Sponsor benefits vary by sponsorship level and are outlined in the official Sponsorship Guide or Sponsorship Agreement. While we strive to deliver every advertised benefit, certain items may be adjusted due to event logistics, scheduling, weather, or circumstances beyond our control.

Artwork & Deadlines

Sponsors are responsible for providing approved logos, artwork, and other promotional materials by the deadlines communicated by Santa Speedo Run. Delays in receiving materials may affect a sponsor’s inclusion in printed or digital marketing.

Custom Partnerships

We welcome custom sponsorship opportunities and collaborative activations. Any custom benefits or promotional opportunities will be documented in writing and agreed upon by both parties.

Event Changes

Santa Speedo Run reserves the right to modify the event schedule, venue, programming, or sponsorship activations when necessary. Reasonable efforts will be made to provide sponsors with comparable promotional value whenever possible.

Payments

Unless otherwise stated in a written sponsorship agreement, sponsorship payments are due according to the agreed-upon payment schedule. Sponsorship commitments are considered final once confirmed.

Cancellation

Should a sponsor choose to cancel after confirming their sponsorship, payments are generally non-refundable due to the planning and marketing commitments associated with the event. Requests will be reviewed on a case-by-case basis at the discretion of the ICG Foundation.

Use of Names & Logos

Sponsors grant Santa Speedo Run and the ICG Foundation permission to use their business name, logo, and approved brand assets for promotional purposes related to the event. Likewise, sponsors may reference their partnership with Santa Speedo Run using approved event branding and logos in accordance with any brand guidelines provided.

Thank you for volunteering with Santa Speedo Run! Our volunteers are the heart of this event, and we couldn’t create an unforgettable experience without your time, energy, and support. By volunteering, you agree to the following terms and expectations.

Volunteer Eligibility

Volunteers must complete the official volunteer registration process and provide accurate contact information. Certain volunteer positions may have minimum age requirements or require parental or guardian consent.

Roles & Responsibilities

Volunteer assignments are based on event needs and may include registration, course support, Santa Village, setup and teardown, participant assistance, hospitality, and other event operations. While we do our best to honor preferences, assignments may change as needed.

Code of Conduct

All volunteers are expected to represent Santa Speedo Run and the ICG Foundation with professionalism, kindness, and respect. We are committed to providing a welcoming, inclusive, and harassment-free environment for participants, sponsors, vendors, fellow volunteers, and the public.

Disruptive, discriminatory, unsafe, or inappropriate behavior may result in removal from the event and future volunteer opportunities.

Safety

Volunteers should follow all instructions provided by event staff and immediately report any safety concerns, emergencies, accidents, or incidents. Volunteers should never place themselves or others in unsafe situations.

Photography & Video

Santa Speedo Run is a public event. Volunteers acknowledge that photographs and video may be captured throughout the event and may be used by Santa Speedo Run and the ICG Foundation for promotional, educational, fundraising, and marketing purposes.

Volunteer Benefits

Some volunteer positions may include event merchandise, meals, refreshments, or other appreciation items. These benefits are provided at the discretion of Santa Speedo Run and may vary by volunteer role.

Changes & Cancellation

Volunteer schedules, assignments, and event operations may change based on staffing needs, weather, public safety, or other unforeseen circumstances. We appreciate your flexibility and understanding as we work together to create a successful event.
